Key module · Project Record
One record per site, from first survey to the last report
The Project Record holds everything about a site: its codes, parties and dates, its design and financials, tasks, documents, monitoring and maintenance. Every other module in Flow reads from it, so nothing is typed twice.

Six things every Project Record keeps
Codes and identity
Unit code, property code and a parent site, so a building with several projects stays together.
Parties
Developer, operator, EPC or installer, investor, project manager and asset manager.
Equipment
Panel and inverter manufacturer, and a link to the design.
Dates that hold
Expected completion, with the first date kept as a baseline, and the handover date.
Risk and class
A Red, Amber or Green rating, and a class: retro, development, customer or acquisition.
Everything else, in tabs
Design, Financials, Site Rates, Lifecycle, Tasks, Documents, Monitoring, Meters, Maintenance and Audit.

The details everyone asks for, in one place
Codes, parties, equipment and dates sit on the record, not in someone’s spreadsheet. A project can sit under a parent site, and the first expected completion date is kept so any slippage shows.
- Unit code, property code and parent site
- Developer, operator, panel and inverter manufacturer
- Expected completion kept as a baseline, plus the handover date

Bring in what you already have, safely
Most sites already have a spreadsheet somewhere. Import from Excel fills the fields that are empty on the record from a template, and never overwrites anything already entered in Flow.
- Downloadable template for each project
- Fills empty fields only
- Values already in Flow are never overwritten

The right people on every site, and a view for the customer
Each project names its EPC or installer, investor and project manager. When the site reaches monitoring, a read-only customer portal link is generated so the customer can see their own project and its data.
- EPC or installer, investor and project manager on every project
- Access to features set by role
- Customer portal link generated at monitoring status

One record that grows with the site
Each stage adds to the same record, so the history of a site is never split across files.

What happens if the completion date changes?
The first expected completion date saved is kept as a baseline, so you can see how far the date has moved.
Can several projects belong to one site?
Yes. A project can sit under a parent site, for example separate blocks or units on one estate.
Can we bring in data we already have?
Yes. Import from Excel fills empty fields on a project from a template. Projects can also be imported in bulk from Excel or CSV.
Who can see a project?
Access is set by role, so installers, investors and managers see what is relevant to them. Customers can be given a read-only portal link.
Is there a history of changes?
Yes. Every stage change is recorded on the Lifecycle tab, and each project has an Audit tab.
